Physis.
For private-pay home care agencies

Stop losing families to a missed call.

Most home care inquiries come in after hours or on weekends, and the family calls the next agency before you call back. We install an autonomous system that captures every inquiry, follows up in minutes, and books more consultations, so you stop being the bottleneck.

No pitch. You keep the leak map either way.

You are the reason it works. That is also the problem.

In private-pay home care, an inquiry is almost never casual. Someone's mom just came home from the hospital, or a daughter three states away just realized dad cannot be alone anymore. They are scared, they are ready to spend, and they are calling three agencies in the same hour. When every one of those calls runs through one owner who is already stretched thin, here is what it actually costs you.

01

The 7pm call you never hear about

It comes in Sunday night, right after the fall. It hits voicemail. They do not leave one, because the next agency's phone is already ringing. You did not miss a call. You missed a family worth roughly $4,000 a month for the next year and a half, and you will never even learn their name.

02

The reply that came four hours too late

The web form lands while you are on a shift. By the time anyone answers, the family has already spoken to a competitor and felt taken care of. In a decision this emotional, the first agency to respond with a real human usually wins it. Speed here is not a nicety. It is the sale.

03

The warm family that quietly went cold

Half your inquiries are not ready to sign this week. They are waiting on a discharge date, or a sibling to agree. Those are your easiest wins, and they slip away because following up depends on someone remembering during a 60-hour week. You paid to earn that lead. Then you let it go cold.

04

The business that cannot run without you

You cannot take a weekend, let alone a real vacation, because the whole thing only holds together when you are the one holding it in your head. That is not a busy stretch. That is a ceiling. Every dropped inquiry is one more reminder that the business still runs on one exhausted person.

An inquiry-to-consultation system that runs without you

The same seven steps, installed once, working every hour you are not.

1

Capture

Every call, missed call, and web inquiry becomes a tracked lead. Nothing falls through.

2

Qualify

A few smart questions surface fit, urgency, care need, and location before your team spends a minute.

3

Summarize

Each inquiry lands as a clean one-screen brief, not a raw form you have to decode.

4

Route

Hot families get flagged and sent to the right person in minutes, not the next business day.

5

Follow up

Automated text and email keep warm families engaged so nothing depends on memory.

6

Book

Qualified families are guided to a booked consultation, with reminders and no-show recovery built in.

7

Report

You finally see inquiries in, consultations booked, and where the rest went. Every week.

I am not going to show you fake results.

I take on only a few founding clients at a time, so there is no wall of logos here yet. What I bring instead: years inside medical-equipment operations watching these exact leaks drain real revenue, and a system built to close them. Work with me early and your numbers become the first case study, on founding-client terms.

What the system is built to deliver:

Under 5 minto first follow-up on every inquiry
Everycall and web inquiry captured and tracked
Onedashboard for the whole pipeline

Why I build these systems

I learned what a broken process costs from the hardest possible place to learn it.

I spent years running operations and sales in medical equipment. Home oxygen and DME. Therapeutic mattresses and bed frames for patients recovering at home and in facilities. In that world an inquiry is never just a lead. On the other end is someone who needs oxygen to breathe easier tonight, or a pressure-relief surface before a wound gets worse.

So when a process broke, it did not just cost us a sale. A referral would sit unworked in a queue. A discharge planner would not hear back in time and sent the next patient somewhere else. A family would wait on equipment that arrived late because one handoff got dropped between the call and the delivery. I watched good people who were excellent at the actual care lose real revenue, and real trust, in the gap between the inquiry and the follow-through.

It was always the same four leaks. The missed call. The slow reply. The follow-up that lived in someone's memory. The pipeline nobody could actually see. I spent years collecting tools and tactics trying to plug them, and the tools never fixed it. A system did.

That is why I build Physis. Not to sell you software, and not to hand you one more thing to manage. To install the system I wish we had had, so an owner who is great at caring for people stops losing the families they were meant to help to a dropped call or a four-hour reply. I have sat where you sit. Let me show you where it is leaking.

Straight answers

Is this just another software we have to run?

No. We install and run the system for you. You get more booked consultations and a weekly report, not another login to babysit.

Will it replace my staff?

No. It removes the manual work that eats their day, so your people spend time with families instead of chasing voicemails and forms.

We already have a phone service and a website form.

Good. Those capture the inquiry. This is about what happens next: qualifying, following up in minutes, and actually booking the consultation. That is where the revenue leaks.

How fast can this be running?

The first piece, making sure no missed call or after-hours inquiry goes unanswered, can be live quickly. We build the rest in stages so you see results before the full system is done.

What does the first step cost?

The call is free and there is no pitch. If we find gaps worth fixing, we will show you exactly what installing the system would look like and what it costs.
