Stop Losing Good Opportunities to Bad Follow-Up.

I know what it costs when a valuable client or contract goes to a competitor because nobody answered, replied fast enough, or owned the next step. I build Inquiry-to-Income Systems that close those gaps before more revenue slips through them.

The short version

Why good opportunities keep slipping away

I break down the universal gaps that cost businesses clients and contracts, then show how Inquiry to Income gives every opportunity an owner, a next step, and a visible outcome.

The sale you never knew you lost

Your competitor may not be better. They may have just answered first.

This is not a contractor problem, a legal problem, or a consulting problem. It is a process problem. In every business, revenue leaks when nobody clearly owns the next response, handoff, or follow-up.

01

The missed call that became their new client

A qualified buyer called with money, urgency, and a problem. Nobody answered or called back fast enough, so the next company got the conversation.

02

The email that sat while urgency was high

The inquiry arrived, but the response came hours or days later. By then, the buyer had already moved forward with someone else.

03

The handoff everyone thought someone else owned

Sales thought operations had it. Operations thought sales was following up. The opportunity disappeared in the space between them.

04

The proposal that died in silence

Your team did the discovery, built the scope, and sent the quote. Then thousands of dollars depended on somebody remembering to follow up.

05

The owner holding the process together

If opportunities only move when you remember to ask, check, or chase, you do not have a reliable process. You are the process.

The methodology

Every inquiry gets an owner, a next step, and a deadline.

Inquiry to Income connects seven steps into one visible path, so a missed call, email, appointment, or proposal cannot quietly disappear without action.

01

Capture

Every call, form, message, and campaign inquiry enters one tracked path.

02

Qualify

The right questions collect fit, urgency, service need, and intent.

03

Summarize

Your team receives context, not a raw message they have to decode.

04

Route

The right person receives the opportunity, context, and responsibility for the next action.

05

Follow Up

Missed calls, no-shows, open proposals, and stale leads stop depending on memory.

06

Book

Qualified buyers receive a direct path to the right appointment.

07

Report

Response, bookings, attendance, proposals, and outcomes become visible.

Tools do not pay you. Systems do. The tools stay underneath. The process protects the opportunity.
See the mechanism

Watch one inquiry move through the entire system.

The system demo will follow a realistic opportunity from first contact to a visible outcome. No tool tour. No disconnected automation. Just the operating path your team would actually use.

How context and responsibility move with the lead
How missed calls and open opportunities trigger follow-up

What changes

What a controlled revenue path looks like

Not maximum automation. A reliable operating process that keeps working when the day gets busy.

Respond before the buyer moves on

New inquiries receive an immediate, useful next step while your team handles the work that requires judgment.

Consistent qualification

The same important questions get answered before time is committed to the wrong opportunity.

Follow-up that does not get forgotten

Missed calls, no-shows, stale leads, and open proposals enter an agreed follow-up process automatically.

Know what is happening without chasing people

The owner and team can see what happened, what is still open, and what needs human attention.

Who it fits

Different industry. Same leak.

A contractor, broker, consultant, attorney, and financial professional can all lose valuable business the same way: a missed call, a late reply, a bad handoff, or a next step nobody owned. The industry changes. The process problem does not.

Examples, not boundaries

Remodeling, specialty contractors, commercial real estate, business brokerage, legal services, financial services, and other high-ticket appointment businesses.

You already receive calls, forms, referrals, or paid inquiries.
The sale requires an estimate, site visit, showing, or discovery meeting.
The owner or a small team still holds too much of the process in their heads.
A missed inquiry can quickly become a competitor's opportunity.
You want the existing revenue path fixed before adding more demand.
Your work does not require protected patient information to enter the system.

The operator behind the system

I know how expensive a missed message or broken handoff can become.

I spent eight years in medical equipment sales and operations. I eventually managed operations for roughly 40 employees, helped run three branches, and supported multi-million-dollar hospital contracts involving UMMS, Johns Hopkins, MedStar Health, and Inova.

In that environment, a missed call was never just a missed call. A late email, incomplete handoff, or forgotten next step could affect a client relationship, put a contract at risk, and open the door for a competitor who responded faster.

The lesson was universal: every business has inquiries, responsibilities that move between people, and follow-up competing with today's emergency. Without a defined process, even talented teams lose opportunities they worked hard to create.

Since 2021, I have combined that operating experience with AI, automation, and custom system development. Inquiry to Income is the result: capture the opportunity, assign responsibility, drive the next action, and show the owner what happened.

Proof starts with a baseline

First, find out what the leaks are already costing you.

No made-up ROI. No guaranteed revenue claim. We make the current path visible, establish the baseline, and measure whether response, follow-up, bookings, and outcomes actually improve.

Founding implementation access: I am accepting a small number of early engagements so I can lead every step personally. Each project gets a defined scope, baseline measurement, direct iteration, and documented results. There is no handoff to a junior team.
Response timeHow quickly a new inquiry receives a useful response.
Contact rateHow many inquiries become real two-way conversations.
Qualified rateHow many opportunities meet the agreed fit criteria.
Booking rateHow many qualified opportunities schedule the next step.
AttendanceHow many booked appointments happen as planned.
Pipeline outcomeWhat was won, lost, delayed, or still needs follow-up.
Start with diagnosis

A fixed-scope assessment before any implementation.

Before I recommend software or automation, I map what happens from first inquiry to signed job and identify the few gaps most likely to cost you the next client or contract.

Scope agreed in advance Fee confirmed in writing Deliverables are yours to keep

If the assessment shows that a new system is not justified, I will say so. Implementation is a separate decision.

01

Current-state journey map

A clear view of how calls, forms, appointments, proposals, and handoffs move today.

02

Prioritized leak report

The response, ownership, follow-up, and visibility gaps most worth fixing first.

03

Ownership and follow-up plan

Who should own each next action, what can be automated, and what should stay human.

04

Measurement baseline

The starting metrics needed to judge whether the operating path actually improves.

05

Build recommendation

A practical scope for the smallest system capable of closing the most expensive gaps.

Straight answers

Before we talk

Is this another software subscription?

No. The engagement maps, installs, tests, documents, and improves an operating system. Software supports the process, but it is not the product.

Do I have to replace my current CRM?

No. A working CRM, calendar, or field-service platform may stay exactly where it is. The assessment determines what can be kept and what is preventing the inquiry journey from working.

Will automation replace my team?

No. Repetitive response, routing, reminders, and follow-up can be automated. Exceptions, sensitive conversations, judgment, and relationship work stay with people.

Can you generate more leads too?

The first priority is converting and measuring the opportunities you already create. Outbound and additional demand can be added after the response and follow-up system is able to handle it.

How is the assessment priced?

The assessment is a fixed-fee engagement based on the number of inquiry channels, team handoffs, and systems that need to be mapped. You receive the written scope, fee, and deliverables before any work begins.

Do you guarantee appointments or revenue?

No. Physis establishes the baseline, installs the agreed process, and reports what can be substantiated. Results still depend on demand, offer quality, pricing, staff execution, and the sales conversation.

Who will I actually work with?

You will work directly with me, Ron Farley. I lead the assessment, system design, implementation decisions, and client communication.
